VAULT · Prelaunch Waitlist Strategy
Goal: 2,500 to 4,000 qualified names at Grand Open. Convert 800 to paid membership in Year One. Owner: Tia Dunn, Marketing Director Timeframe: Month -12 through Grand Open
Thesis
The waitlist is not a signup form. It is the pre-open membership.
Every person on the list should feel like they are already inside the story, watching a building rise, receiving letters from the founder, seeing things the public does not see. By the time the doors open, the waitlist should be the room. The public opening is for everyone else.
We are not measuring size. We are measuring conviction.
Landing Page Architecture
URL: vaultcharlotte.com Load time target: under 1.2s Design principle: editorial masthead. One image. Three lines of type. One field.
Above the fold
VAULT A private club for the vertical practice. Charlotte, opening late 2027.
[ email field ] [ Request an Invitation ]
Below the fold, one scroll
The building. A single hero image. Interior render or on-site construction photo depending on month.
The intention. Three short paragraphs. Founder-signed.
We are building a club for the people who take the work seriously. Not the sculpted body. The examined life.
VAULT is a vertical practice on five floors in uptown Charlotte. Strength. Recovery. Breath. Stillness. A dining room. A library. A place to be quiet, or to be seen, on your own terms.
Membership is by application. We are opening late 2027 with 450 founding members. This is how you meet us first.
Taj Hines, Founder
Founding member track. A quiet block, not a CTA:
Waitlist members are considered first for founding membership. Founding members receive lifetime rate protection, guest privileges, and a permanent place in the record of the club’s opening. Applications open to the waitlist in early 2027.
Referral mechanic. One line:
Bring a friend. Members who refer four or more names are invited to founding member consideration ahead of the general list.
Footer. Instagram handle. Nothing else. No FAQ. No pricing. No calendar.
Gated Content Strategy
The waitlist earns the story. The public sees the outline.
| Content | Public | Waitlist |
|---|---|---|
| Founder story | 400-word summary | Full long-form letter, monthly |
| Construction updates | Two per year, general | Monthly, with named contractors and dated photography |
| Program preview | Category names only | Named practitioners, class formats, sample weeks |
| Sponsor announcements | Retail press release | Advance notice, personal note from Taj |
| VAULT INVITATIONAL | Announced Month -3 publicly | Announced Month -6 to waitlist |
| Founding member application | Not available | First right of application |
Monthly Waitlist Letter
Cadence: One per month, sent second Wednesday, 9:00am ET. Sender: taj@vaultcharlotte.com Format: Plain text email. Named signoff. Short. Under 400 words.
Sample: Month -11 (First letter)
Subject: A note from the founder
I wanted to write before anyone else did.
We broke ground on the club last Tuesday. Fifth floor was concrete by Friday. This is a slow art. A building takes almost two years to become itself, and I want you to see it happen.
Once a month I will write to you. Progress, decisions, sometimes the reasoning behind them. Nothing you cannot get anywhere else about wellness, because I do not think that is what we are making. We are making a place where people who take themselves seriously can come and be, without performing.
The name is VAULT. Five floors, uptown Charlotte, opening late 2027.
Thank you for waiting with me.
Taj

Referral Mechanics
Structure: - Every waitlist member receives a personal referral link at signup. - The link is tracked to their email. - Referrers see their count in an unlisted status page (no leaderboard, no gamification).
Tiers:
| Referrals | Recognition |
|---|---|
| 1 | Personal thank-you from Tia |
| 4 | Invitation to apply for founding membership ahead of general waitlist |
| 8 | Founding member consideration expedited; guest invite to founding member preview night |
| 15 | Guaranteed founding member seat at published rate |
We do not publish the tiers. Members who hit them find out by receiving the invitation.
Waitlist Member Benefits
The soft benefits, made explicit only in the founding member letter:
- First-application right. Waitlist members are considered before general membership opens.
- Founder access. Monthly letter from Taj. No other channel offers this.
- Rate protection. Founding members lock lifetime rate at Year One published number.
- Guest privileges. Founding members receive four guest passes per year, unrestricted.
- Preview night access. Founding members are invited to Month -2 preview night, before press day.
- Naming rights. Founding members are engraved in the entry wall of the building. Not a plaque. Not a donor list. A wall.
- INVITATIONAL priority. Founding members receive first ticket allocation for VAULT INVITATIONAL Y1.
Waitlist to Founding Member Conversion
Target: 450 founding members out of first 1,500 waitlist signups (30%).
Application process:
- Waitlist member receives founding member invitation email, Month -9.

- Personal call with Tia or a member of the team. 20 minutes. Not an interview. A welcome.

Channels for Waitlist Growth
Ranked by priority, not spend:
- Taj’s owned network. Personal Instagram, close friends list, one-to-one text intros. Highest conversion.
- Referral engine. Waitlist members bringing friends. Compounds quietly.
- Trill’s professional network. Choreographers, tour dancers, athletes, artists. Cultural authority.
- Nomad Society cross-list. Founder-to-founder announcement, one coordinated push.
- Hot 97 activation. Taj on air, single segment, drives regional NYC/NJ interest.
- Local press. Charlotte Magazine, Charlotte Observer. One long feature, timed to Month -9.
- National press. Cultured, Departures, Vogue Business. Timed to Month -3.
- Paid. Instagram and Google, targeted narrow. Under $50K in prelaunch window.
What We Do Not Do
No countdown timers. No “spots left” language. No paid influencer partnerships before Month -3. No discount codes. No affiliate program. No lead magnet ebooks. No “download the wellness guide.”
The story is the offer. The building is the proof. The letter is the delivery mechanism.
