This document names the ecosystem VAULT runs on. Some vendors are internal to The Walker Group. Others are external partners under contract. External vendors are never surfaced in member-facing communication or press. Emmett’s vendor discretion rule applies: internal budget and procurement docs only.
1. STRATEGIC VENDOR CATEGORIES
Ranked by criticality to the standard. Strategic vendors get a redundant backup on file even if the primary is under long-term contract.

2. WALKER GROUP INTERNAL ECOSYSTEM
These names live inside this document. They do not appear in any outbound VAULT communication.
2.1 AV, rig integration, and broadcast
- Circle Three Designs (NJ). Custom rack builds, playback infrastructure, and broadcast-ready AV for the main floor. Same shop that builds Walker Group touring racks and the IDE Lab doublewide. Circle Three fabricates the FOH and playback racks for THE VAULT INVITATIONAL. First right of refusal for any AV rack fabrication VAULT commissions.
- Dusty at Glen Canyon Audio. On-site config engineer and RF specialist for VAULT INVITATIONAL broadcast events. Owns comms plan, RF coordination, and playback system commissioning. Same engineer who commissions the IDE Lab. Retained under Walker Group MSA, day rate negotiated per event.
- The Walker Group Production team. Show production, MD, playback, and executive production for THE VAULT INVITATIONAL. Fees governed by the Walker Group pricing ladder, event budgets scoped case by case.
2.2 Design and brand system
- The Walker Group in-house. Brand system, member communication templates, editorial art direction, and video content. VAULT visual identity extends the Taj Hub brand book.
2.3 Content and photography
- Walker Group content stack. Editorial carousels, member story features, event recap reels. Executed on the internal content pipeline (magick, ffmpeg, Chrome headless, Fraunces italic, monochrome brand rules).
3. HVAC DESIGN, INSTALL, AND SERVICE
- Mechanical engineer of record. Charlotte metro licensed PE, retained for design, commissioning, and periodic recommissioning. Sealed drawings on file with GM. Contact card in ops system.
- HVAC installation contractor. Signed under design build agreement. Warranty period logged. Post-warranty service transitions to service contractor below.
- HVAC service contractor. Quarterly PM contract. Filter change management, UV-C lamp replacement, coil cleaning, humidifier service, controls calibration. 24 hour emergency response required in the contract.
- Filter supplier. AAF Flanders or Camfil, dealer of record in Charlotte metro. Standing PO for 90 day lead time on MERV 14 stock.
- UV-C lamp supplier. Direct from OEM matched to installed air handlers. Annual replacement order placed at Q1.
- Duct cleaning and inspection. NADCA certified contractor, engaged every 3 years or on any indoor air quality complaint.
- Commissioning agent. Independent CxA, retained for opening commissioning and every 3 years thereafter.
4. RECOVERY EQUIPMENT
- Sauna cabin manufacturer. Traditional Finnish cabin from a manufacturer with commercial spec, thermally isolated, medical grade wood (clear grade aspen or thermally modified alder). OEM service contract for heater and controls.
- Steam room generator manufacturer. Commercial spec unit with dedicated aromatherapy injection. Descaling schedule per OEM.
- Cold plunge unit. Commercial spec, UV plus ozone treatment, chiller sized to 2x design load for peak recovery. OEM service contract, remote monitoring where offered.
- Contrast shower fixtures. Thermostatic mixing valves with tamper resistant presets, ADA compliant grab bars, non-slip flooring rated for wet commercial use.
- Spa oils and aromatherapy. Medical grade eucalyptus and cedar blend from a professional aromatherapy supplier. Never retail-grade essential oils. Bulk order on 90 day cadence, stored in a climate controlled staff cabinet.
- Water treatment chemistry. Commercial pool and spa chemistry supplier delivering to Charlotte metro. Standing order for pH, alkalinity, sanitizer, and shock. Test reagents replaced quarterly.
5. CLEANING AND JANITORIAL
- Day porter service. In-house employees, direct report to Director of Facilities. Not contracted. Uniformed, brand aligned, background checked.
- Overnight cleaning crew. Contracted commercial cleaning company with hospitality experience. Fine hotel or luxury spa references required in the bid. Insurance limits verified. Crew sizes to 4 during weeknights, 5 on Sunday reset. Supervisor on site every shift.
- Chemical supplier. Ecolab or Diversey direct account. Product SKUs per
03_HVAC_CLEANING.md. Rep visits quarterly for method review and staff refresher. - Microfiber and cleaning tool supplier. Rubbermaid HYGEN or equivalent color coded system. PAR set 3x rotation.
- Autoscrubber and electrostatic sprayer. Purchased outright, service contract with OEM.
6. LAUNDRY AND LINEN
- Linen program. Commercial linen service delivering to Charlotte hospitality accounts. Robes, towels, hand towels, washcloths, practice kits. Same-day turn for peak periods.
- Fresh delivery at 5:00a, soiled pickup at 10:00p.
- Robes and towels held to hotel spec, minimum 700 GSM for bath sheets, waffle robes for post recovery, plush robes for lounge.
- Aerial silk laundering. In-house dedicated washer and hang drying. Never sent out. Silks laundered per
03_HVAC_CLEANING.mdSection 3.1. - Microfiber laundering. Sent out daily to the linen vendor’s dedicated microfiber line, or in-house on a dedicated washer segregated from apparel.
7. WATER QUALITY
- Accredited environmental testing lab. Monthly cold plunge water samples. Quarterly Legionella testing on domestic hot water loop. Same day pickup, results within 5 business days.
- Plumbing service contractor. Commercial spec plumber on 24 hour call. Backflow preventer testing annually.
8. LIFE SAFETY
- Fire protection contractor. Sprinkler inspection quarterly, annual certification. Extinguisher inspection annually.
- Fire alarm monitoring. 24 hour central station monitoring, licensed for NC.
- Defibrillator program. Managed program (Cardiac Science, Philips, or Zoll) with pad tracking and monthly self-test reporting.
- O2 kit supplier. Medical supply company handling cylinder swaps and regulator service.
- First aid restock. Cintas or Zee Medical on scheduled restock visits.
9. STRUCTURAL AND RIGGING
- Structural engineer of record. North Carolina licensed PE with performing arts and stage rigging experience. Sealed drawings and load calculations on file. Annual load test and structural review per
02_SAFETY_LIABILITY.md. - Rigging contractor. Certified stage rigger, ETCP where applicable, hardware sourced from documented performance rigging suppliers. Retains as-built drawings.
10. FLORAL AND SCENT
- Florist. Charlotte metro studio with luxury hospitality experience. Three deliveries weekly (Monday, Wednesday, Friday). Seasonal palette approved by Taj on a quarterly review. Vases and containers rotated out for cleaning weekly.
- Signature scent supplier. Custom scent developed with a professional fragrance house. Diffusion system serviced quarterly. Scent oil delivered on 60 day cadence.
- Locker room and lounge candle program. House-branded candles from a professional candle maker under contract. Retail micro-boutique carries the same product.
11. FOOD AND BEVERAGE SOURCING
- Coffee. Single origin roaster with Charlotte or regional roasting operation. Weekly delivery.
- Tea. Loose leaf program from a professional purveyor.
- Prosecco. Named producer with reliable wholesale allocation. Case allocation logged for arrival ritual.
- Non-alcoholic pairing supplier. Craft non-alcoholic beverage brands (Ghia, Kin, or peers) held on rotation.
- Smoothie ingredients. Local produce vendor for daily delivery. Frozen fruit from a commercial supplier with organic sourcing where practical.
- Adaptogens and elixir ingredients. Direct from vetted suppliers. COAs on file for every batch.
- Sparkling and still water. Glass bottled, from a supplier with returnable bottle program where available.
- Snacks and grab and go. Curated micro-menu, sourced from local producers. Menu reviewed monthly with Director of F&B / Retail.
12. INSTRUCTOR AND COACH PIPELINE
- Pole and aerial recruiting. National auditions run twice yearly, Charlotte hosted plus travel to New York and Los Angeles as needed. Auditioned in front of Director of Training plus one Founding tier member.
- Dance recruiting. Local Charlotte dance community plus regional professional dancers. Focused on ballet, contemporary, hip hop, and heels programs.
- PT and strength coaching. Certified through NSCA, ACSM, or equivalent. Sports medicine background preferred.
- Guest instructor program. Rotating monthly guests, curated by Taj. Travel and honorarium contracted per visit. Walker Group handles booking and hospitality.
13. PT AND MEDICAL REFERRAL
Contracts on file at the GM desk with each of the following partners:
- Sports medicine physician group in Charlotte metro.
- Pelvic floor and women’s health PT practice.
- Aerial and dance specific PT.
- Cardiology consult for sauna and cold plunge clearance beyond baseline screening.
- 24 hour urgent care partner within 3 miles.
Referrals offered, never required. No revenue share, no kickbacks, no commercial entanglement.
14. SECURITY
- Uniformed security contractor. Licensed, insured, hospitality trained. Not law enforcement in uniform. Presence at the door during operating hours, upgraded per event.
- Access control system. Commercial spec, integrated with membership booking. Backup credential process on file.
- CCTV. Coverage in public areas, entries, back of house corridors. Not in locker rooms, restrooms, showers, sauna, steam, treatment rooms.
- Executive protection. On call retainer for VIP visits and press events. Sourced through Walker Group’s existing tour security network.
15. INSURANCE AND LEGAL
- Broker of record. Commercial insurance broker with hospitality and fitness experience.
- Coverage. General liability, professional liability for instructors, property, cyber, employment practices, umbrella. Limits reviewed annually with GM and Taj.
- Legal counsel. North Carolina firm handling operating agreements, waivers, employment, and event contracts. Same firm reviews the class waiver template annually per
02_SAFETY_LIABILITY.mdSection 10. - Music licensing. ASCAP, BMI, SESAC, GMR licenses all in place. Quarterly attestation.
16. IT, BOOKING, ACCESS CONTROL
- Member management platform. Vetted for luxury clubs and boutique fitness. Integrates booking, waivers, member profiles, POS, and access control.
- POS. Same platform if it meets the standard, otherwise Toast or Square for Restaurants, integrated to member accounts.
- Network. Commercial spec, redundant WAN, guest and back of house VLANs, mesh Wi-Fi rated for high density.
- IT MSP. Managed IT partner with 24 hour response, remote monitoring on critical systems.
- Data backup. Offsite backup for member data, waivers, incident logs, financials. Verified restore quarterly.
17. RETAIL MICRO-BOUTIQUE
- Apparel. Small edit of premium activewear and dancewear. Brand mix reviewed quarterly with Taj.
- Grip aids and training accessories. Direct from professional pole and aerial suppliers.
- Recovery. Compression, tools, small durables from brands aligned with the VAULT aesthetic.
- VAULT branded product. Candles, robes, dust bags, hats, tees, produced by Walker Group approved suppliers.
- Consignment program. Selective consignment with independent designers curated by Taj. Contracts routed through counsel.
18. STANDING OPERATIONAL CONTRACTS
Master vendor contracts, insurance certificates, and W-9s are stored in the ops system under Vendors/ and mirrored to the GM’s encrypted archive. Any change to a strategic vendor requires GM proposal and Taj signoff per 00_OPERATIONS_MANUAL.md Section 4.
19. ANNUAL VENDOR REVIEW
Once a year, GM leads a full vendor performance review:
- Performance against SLA.
- Cost benchmarking against comparable properties.
- Alignment with the standard.
- Backup vendor readiness.
- Contract renewal recommendations to Taj.
20. CONFIDENTIALITY
This roster is not distributed. It is not attached to member correspondence. It is not shared with press. It is not attached to proposals for outside events unless explicitly cleared by Taj and the GM in writing.
