1. PRE-OPEN, 5:00A TO 5:45A
Staff: MOD, Facilities tech, 2 concierge, 2 locker attendants, 1 recovery attendant, 1 cafe lead.
1.1 Facilities walk (5:00a)
Facilities tech, printed checklist, initials each item:
- HVAC readouts confirm: main floor 68 F, pole studios 74 to 76 F at 45 to 55 percent RH, recovery deck 72 F, lobby 70 F.
- CO2 in every occupied zone under 800 ppm at open (see
03_HVAC_CLEANING.md). - Water temperature at every shower head, spot test 3 stations, target 104 to 108 F.
- Cold plunge water temperature between 38 and 42 F, chemistry within spec, log completed.
- Sauna interior 175 to 195 F, steam room 110 to 115 F at 100 percent RH.
- Rigging visual: no fasteners loose, no fabric damage on aerial, no marks on poles. Full rig inspection cadence per
02_SAFETY_LIABILITY.md. - Life safety: defibrillator green light, O2 kit sealed, exits clear, sprinkler pressure nominal, fire panel clear.
- IT: booking system live, concierge tablets synced with today’s arrivals, DJ or MD console cued.
- BMS dashboard, confirm all zones within setpoint, no active alarms.
- Turn on signature scent diffusion (Le Labo custom blend, 15 percent output all guest zones).
1.2 Front of house prep (5:15a)
Director of Hospitality or MOD leads:
- Prosecco (Ferrari Trento Brut) chilled to 42 F. Non-alcoholic option (Leitz Eins-Zwei-Zero) chilled to 40 F. Fresh Zalto flutes polished with linen, inspected for chips.
- Cocktail napkins folded in threes.
- Lobby scent diffusers refilled, output verified within 2 feet of nose height.
- Fresh florals rotated (Friday delivery per
04_VENDOR_ROSTER.md). - Music playlist queued, lobby at 62 to 66 dB SPL confirmed with SPL meter.
- Lighting at 40 percent warm, sunrise sequence begins 6:00am and ramps to 65 percent by 7:30am (Lutron).
- Concierge roster review: today’s arrivals, VIPs flagged, pronunciation audio for any new members played back.
- Sidewalk swept, no debris. Door glass streak-free (Method spray, microfiber only, never paper). Doormat lint-rolled.
1.3 Locker room prep (5:15a)
Locker attendants complete per member on the day’s booking list:
- Locker unlocked and staged.
- Frette waffle robe folded to house standard.
- Suicoke slides in member’s size at locker floor.
- Practice kit in member’s declared sizing (top, bottom, grip aids per profile).
- Sealed Evian 500ml at the top shelf, chilled.
- Chilled towel in the towel warmer/cooler unit set to 42 F.
- Signature amenity kit refreshed: Diptyque Philosykos hand cream 15ml, single-use bamboo toothbrush, cream cotton mask (Bkr), silk hair tie.
- Handwritten card only for VIPs, birthdays, first-time guests (Founder’s directive, cream Crane cardstock, no logo).
- Members not booked but with drop in privileges: universal kit staged in 6 flex lockers per gender.
1.4 Recovery deck prep (5:30a)
Recovery attendant completes:
- Sauna heated and holding at target.
- Steam room heated and holding, aroma canister refilled with medical-grade eucalyptus and cedar blend.
- Cold plunge circulated, skimmed, chemistry logged and posted (pH 7.2 to 7.6, ORP 700+ mV, temp 38 to 42 F), water clarity 100 percent.
- Contrast shower stations tested at each temperature preset.
- Fresh robes and hooded towels stocked at every station.
- Cucumber and citrus water carafes filled and chilled.
- Eucalyptus towel cooler stocked for departure ritual (see Section 12.4 in HVAC doc).
1.5 Training floor prep (5:30a)
Director of Training or floor lead:
- All poles wiped with 70 percent isopropyl on lint-free microfiber, dried, spun tested.
- Mats laid, sanitized with Force of Nature hypochlorous acid, aired.
- Aerial silks and hoops inspected visually, load rating tags checked.
- Class boards updated with instructor and time.
- Sound system tested, mic checked.
- Studio scent set to training profile (lighter than lobby, 8 percent).
1.6 Cafe and lounge prep (5:30a)
F&B lead:
- Espresso machine (La Marzocco Linea Mini) purged and calibrated. Dial in Onyx or Counter Culture single origin, target 18g in / 36g out / 26 to 30 sec.
- Smoothie stations prepped per today’s booked defaults: Sun Basket organic bananas frozen night prior portioned 6oz, Three Trees almond milk, Wyman’s frozen wild blueberry, triple-washed organic spinach, MCT oil, Vital Proteins collagen, maca, cacao nibs, dates, all portioned in 32oz mise en place.
- Elixir jars (adaptogens, magnesium tonic, collagen, house tonic) topped and dated.
- Coffee program: cold brew stocked. Ippodo ceremonial matcha whisked.
- Water station: filtered still and Mountain Valley sparkling in glass, lemon and cucumber wheels cut.
- Retail micro-boutique dusted, product straightened, price tags aligned.
1.7 Standup (5:45a)
MOD runs, 15 minutes:
- Yesterday’s incidents and open items.
- Today’s VIPs and any special requests.
- Any facility items on watch.
- Assignments for turnover between class blocks.
- Any press, media, or Taj presence today.
- Two-minute silent walk of front lobby from guest perspective. Any friction called out.
Doors open at 6:00a sharp. Not 5:59, not 6:01. First guest greeted within 8 seconds by name.
2. OPERATING HOURS CADENCE
2.1 Peak block 1, 6:00a to 10:00a
- Continuous concierge presence, 2 on desk.
- Class schedule: 6:15a pole conditioning (45 min), 7:15a mat + breath (45 min), 8:15a pole intermediate (60 min).
- Sauna cycles run every 45 minutes on the quarter hour.
- Turnover between class slots executed per Section 4 below.
- Recovery deck monitored, 20 minute sauna and 3 to 5 minute cold plunge caps enforced politely.
- Locker room reset every 45 minutes: floor mop, sink polish, towel restock, amenity check.
- Cafe pushes post-workout smoothies. Members with declared defaults do not need to order.
- Concierge on floor rotates every 90 minutes to stay fresh; back-of-house 15 minute reset every rotation.
2.2 Midday, 10:00a to 4:00p
- Lower foot traffic. 1 concierge, 1 locker attendant per gender.
- Class schedule: noon pole flow (60 min), 1:15p mat restorative (45 min).
- Deep clean rotation through pole studios one at a time (see
03_HVAC_CLEANING.md). - Private training and PT bookings prioritized.
- Recovery deck open for members using contrast protocols.
- Facilities tech performs scheduled preventive tasks.
- Lunch F&B menu opens (bone broth, tuna crudo, green plate, protein bowl, matcha).
- Retail floor fully attended.
- Rig safety spot-check by Director of Training between 2:00p and 3:00p (see
02_SAFETY_LIABILITY.md).
2.3 Peak block 2, 4:00p to 8:00p
- Back to full staffing.
- Class schedule: 5:30p pole intermediate, 6:45p pole advanced, 7:45p mat + sound bath.
- Sauna cycles continue every 45 min.
- Prosecco service refreshes at 5:00p with fresh bottles and polished flutes.
- Highest instructor demand block, floater instructor on premises.
- Cafe transitions to evening menu, elixirs, cold brews, sparkling wine service.
- Members lounge programming: DJ or curated playlist per calendar.
- Music transitions to evening playlist at 6:00p, negative 30 LUFS lobby, negative 24 LUFS in retail.
2.4 Wind down, 8:00p to 10:00p
- Final sauna cycle closes at 8:15p entry.
- No new cold plunge entries after 8:30p.
- Concierge walks Quiet Room to gently prompt departure, offer smoothie to-go.
- Last F&B order 8:45p.
- Last class ends by 9:00p.
- Departure ritual continues to run for every member as they leave.
3. HOSPITALITY TOUCHPOINTS PER VISIT
Minimum touchpoints from door to door:
- Door greet by name at arrival (within 8 seconds).
- Beverage offer within 30 seconds.
- Locker confirmation.
- Class or session handoff.
- Mid-session water refresh or check-in for private sessions.
- Post-session smoothie or elixir.
- Recovery deck escort if requested.
- Chilled eucalyptus towel at departure.
- Next booking confirmed.
- Door farewell by name.
If a visit clocks fewer than 8 of these 10, it is logged as an Amenity Miss even if the member did not notice.
Signature scent audit: every 30 minutes, rotating attendant walks all five guest zones and scores scent presence 0 to 3. Target 2. Any score of 3 (overwhelming) or 0 (absent) triggers immediate adjustment at diffusion panel.
4. TURNOVER BETWEEN CLASSES
Target: 15 minutes end of class to next class ready. Executed by turnover crew, never by instructor and never by Taj.
4.1 Pole studio, 10 minute turnover
- Instructor thanks class, guides toward exit corridor.
- Attendant enters within 60 seconds with cart: microfiber towels, isopropyl 70 percent spray, dry microfiber for polish, Bar Keepers Friend paste in ramekin for any grip residue.
- Each pole wiped base to top: paste applied to any grip residue, wiped, isopropyl mist, dry polish.
- Aerial apparatus visually inspected, wiped at attachment points.
- Floor swept with electrostatic mop (Swiffer XL with reusable pad, laundered daily), then damp-mopped with 1:64 diluted Bona Pro (only on hardwood zones, never on pole grip surfaces).
- HVAC purge cycle: exhaust runs at 12 ACH for 4 minutes to clear humidity and CO2.
- Waste emptied. Water station restocked.
- Scent reset. Music cued for next class.
- Studio signed off by floor lead on turnover log.
4.2 Mat studio, 10 minute turnover
- Instructor thanks class.
- Attendant collects mats (Manduka Pro), sprays with Force of Nature hypochlorous solution, wipes both sides, restacks.
- Blocks, straps, bolsters wiped with Force of Nature, restacked.
- Floor mopped with Bona Pro at 1:64 dilution.
- Aromatherapy reset per next class (see instructor’s binder).
- Ready signal.
4.3 Sauna reset between cycles (45 min cycle, 15 min reset)
- Wait 5 minutes for temp drop.
- Ventilation cycle 6 minutes at max.
- Cedar wipe with dry cotton (never wet on cedar), then cedar oil buff on high-touch surfaces (bench top, backrest, door handle).
- Fresh cedar aroma bucket refilled (distilled water plus 8 drops cedar oil, therapeutic grade).
- Sand timer reset.
- Ready signal.
If turnover cannot complete in target window, MOD is notified. Delays are logged with root cause.
5. VIP HANDLING
VIP tier is not a purchased tier. It is designated by Taj or the GM for specific members or guests. Examples: press, high profile guests, members celebrating a milestone.
5.1 Pre-arrival (T minus 24 hours)
- GM confirms VIP flag, notes preferences (locker, robe size, beverage, allergies, sauna vs plunge, class or private session, name pronunciation).
- Concierge lead calls VIP directly, confirms arrival window and any adjustments, offers side vestibule entry.
5.2 Pre-arrival (T minus 30 minutes)
- Locker warmed via portable towel warmer at their locker 20 minutes before ETA.
- Robe fresh-pressed, hung not folded.
- Preferred beverage chilled at locker.
- Private attendant briefed, standing by.
5.3 Arrival
- Side vestibule buzz, GM or Director of Hospitality personally greets.
- No front lobby processing, no ID check on floor (verified in system prior).
- Direct escort to locker.
5.4 During visit
- Dedicated attendant shadows at respectful distance.
- Silent phone protocol for all staff in VIP’s zones.
- If VIP is a public figure, all other staff briefed to not react, not approach, not photograph.
- Class: front of room hold, instructor briefed by name before the VIP arrives.
- Recovery: recovery deck cleared of walk-ins during the VIP window if possible, or a discreet reserved zone set.
5.5 Departure
- Private departure ritual at their locker or side vestibule.
- Tab settled via leather folio in Quiet Room or side vestibule, never at front counter.
- Personal farewell by Taj if she is on premises, otherwise GM.
- Handwritten thank-you card mailed within 24 hours (Founder signs for tier 1 VIPs, GM signs for tier 2).
Staff never approach for photos, never post about presence on personal social, never confirm presence if asked by outside party. Violation is termination for cause. VIP designations are not announced to the VIP. The point is that it feels normal to them.
6. INCIDENT LOG
One log, kept live in the ops system. Every entry has:
- Timestamp.
- Level (1 through 5, per Ops Manual Section 5).
- Type: Amenity Miss, Service Failure, Facility Failure, Safety, Existential.
- Location zone.
- Member(s) involved and member ID.
- Staff involved.
- Description in plain language, factual, no editorializing.
- Action taken at the time.
- Follow up owner and due date.
- Comp issued and value.
- Closed by, closed date.
Every incident logged on Verkada tablet at Concierge desk within 60 minutes of occurrence.
Level 1 and 2: reviewed by Director next standup. Level 3: GM notified within 30 minutes via SMS. Level 4: GM notified within 15 minutes via call, Founder notified by GM within same 15-minute window, counsel looped within 60 minutes.
Photograph or video attached where relevant (equipment failure, spill, injury area). Never photograph a guest without consent unless required for medical or legal documentation.
Weekly incident summary distributed to Directors every Monday standup. Trend analysis monthly.
7. CLOSE, 9:00P TO 10:15P
7.1 Doors closed to new entries (9:00p)
- Concierge announces close via Quiet Room and locker rooms with respectful tone.
- Last smoothie orders taken.
7.2 All guests departed (9:30p)
- Final walk of all zones with departing Director.
- Any personal items left, tagged and stored in Lost and Found (locked cabinet, back of house), held for 72 hours.
7.3 Recovery close (9:30p to 10:00p)
- Sauna wiped, ventilated with door open, benches sanitized, cedar oil applied to bench top and backrest.
- Steam room drained, wiped, ventilated.
- Cold plunge skimmed, chemistry logged for close, filtration continues overnight, cover deployed, deck squeegeed.
- Contrast shower stations wiped, drains checked.
7.4 Locker room close (9:30p to 10:00p)
- Every locker cleared, wiped inside and out (any personal items to Lost and Found).
- Robes and towels bagged for laundry service pickup.
- Amenity stations refilled or bagged for morning refill.
- Shower stalls scrubbed with Method daily shower + Bar Keepers Friend on grout.
- Floors mopped with Bona Pro, drains flushed with enzymatic cleaner.
- Toilets and urinals scrubbed with Force of Nature, exterior wiped, floor around wiped with dedicated red microfiber (never mixed with other zones).
- Trash liners replaced 100 percent, never emptied and reused.
- Amenity restock: verify Aesop bulk containers 50 percent minimum, refill from stockroom.
7.5 Studio close (9:30p to 10:00p)
- Poles wiped base to top with Bar Keepers Friend paste, then isopropyl mist, then dry polish.
- Aerial apparatus wiped and inspected, mats stacked.
- Floors swept and mopped, scrubbed weekly per
03_HVAC_CLEANING.md. - HVAC set to overnight setpoints.
7.6 Cafe and retail close (9:30p to 10:00p)
- Perishables logged and stored per food safety plan.
- Espresso machine backflushed nightly per La Marzocco protocol (Cafiza per manufacturer).
- Grinder cleaned weekly.
- Smoothie blender (Vitamix Pro 750) deep clean with citric acid rinse.
- Ice bin sanitized weekly.
- Retail counted and reconciled.
- Prosecco service: partial bottles discarded (never reused), flutes hand-washed and polished with linen.
7.7 Facilities close (10:00p)
- Walk all zones with overnight housekeeping lead.
- Sign off on housekeeping punchlist.
- Air handler switches to overnight mode with UV-C continuing per
03_HVAC_CLEANING.md. - Confirm scent diffusion off in retail and F&B, low in movement zones.
- Alarm armed, exterior lights on schedule, interior lighting on night preset.
- Cameras confirmed recording.
- Fire panel and life safety verified.
7.8 Handoff (10:15p)
- MOD writes handoff note in ops system:
- Any open incidents.
- Any facility issues.
- VIP watch for the next morning.
- Anything Taj needs to see.
Overnight housekeeping continues until 2:00am under separate lead.
8. AMENITY MISS RECOVERY SCRIPT
When a miss happens, the recovery is more important than the miss. Standard sequence:
- Immediate acknowledgment in person, no defensiveness, no excuses.
- Fix on the spot if possible.
- Comp per authority table, at the Director’s discretion.
- Note in the member’s profile so the next visit lands right.
- Written note from Taj or the GM within 24 hours, hand signed, delivered by mail or on next visit.
The apology does not name the staff member responsible. Internal debrief is internal.
9. WEEKLY RITUALS
Sunday 10:00p to Monday 4:00a: extended deep clean, floors buffed, pole rigs inspected top to base (see 02_SAFETY_LIABILITY.md), HVAC filter check, plunge water full drain and refill.
Monday 8:00a: Founder walkthrough optional, GM leads. Founder gives feedback on any brand or aesthetic drift. No operational instructions issued directly to staff.
Wednesday overnight: laundry vendor swap (see 04_VENDOR_ROSTER.md), robes and towels replenished, soiled bag out, fresh linen in.
Friday morning: floral refresh (see 04_VENDOR_ROSTER.md), lobby, Quiet Room, both locker rooms.
10. MONTHLY RITUALS
First Sunday overnight: pole rig certified inspection with Circle Three Designs on-site.
Second Sunday overnight: HVAC contractor visit, filter change, UV-C lamp check, coil clean.
Third Sunday overnight: sauna cedar treatment, full cedar oil application with 6 hour cure.
Last Sunday overnight: cold plunge full sanitization, filter replacement, water full replacement.
11. WHAT TURNOVER AND DAILY OPS NEVER LOOK LIKE
- Taj running a mop or towel run.
- A concierge asking a member their name after they have visited before.
- A pole not wiped between users.
- A robe reused.
- A smoothie made incorrectly against a declared default without the member being asked to reconfirm.
- Music played through a phone speaker anywhere in the building.
- Any staff member seen eating on the floor.
- Any staff member on their personal phone in a member zone.
